Role summary

Reporting to the Associate Director within the Real Estate Operations Team in Jersey, responsible for the provision of administrative support to the wider Real Estate Division, with a particular focus on supervising the Real Estate Operations team together with the development and mentoring of the team members.

 

Key responsibilities

  • Working closely with the Associate Director/Directors
  • Assist Sanne Group’s internal risk, compliance and operations teams with the enhancement of existing and drafting of new procedures, and ensure successful implementation of such procedures within the Real Estate Division
  • Co-ordinate the timely completion of annual reporting and submissions, and payment of respective fees including but not limited to Jersey tax returns and Jersey annual returns for companies and limited partnerships
  • As may be required from time to time, in conjunction with the Associate Director / Directors represent the division by sitting on working parties to discuss new initiatives and /or upcoming projects and disseminate updates to the wider Real Estate Division
  • Co-ordinate the timely completion of one-off and re-occurring projects
  • Oversee the timely completion of internal periodic reviews in line with deadlines
  • Co-ordinate any system updates necessary to facilitate external reporting ie FATCA/ CRS and Beneficial Ownership information to the JFSC
  • Oversee Sanne Group’s central management database and follow up with the wider Real Estate Division on any outstanding items to ensure accurate KPI stats
  • Monitor breaches, errors and complaints via a central log, identify trends and suggest enhancements to procedures to prevent errors from re-occurring
  • Act as point of contact for certain operational matters
  • Oversee the timely completion of minutes assigned to the Real Estate operations team and, as may be required from time to time, attend and prepare minutes following quarterly board meetings of customer entities in line with pre-agreed deadlines
  • Manage and supervise a team of administrators, each providing ongoing support to the wider Real Estate Division in areas such as payments, minute writing, filing and other operational tasks
  • Maintain diary task lists and ensure tasks are cleared on a timely basis
  • Ensure that ongoing operational tasks and responsibilities are managed effectively and are completed in line with deadlines
  • Be able to provide sound, quality and technical guidance to the wider Real Estate division
  • Establish, build and maintain strong relationships and networks both within the division and within other divisions
  • Perform other duties as necessary to support the strategic development of Sanne Group
  • Generally act in the best interests of the Division by supporting team members and promoting the development of the business

Skills and experience required

  • Professional qualifications – ICSA Diploma or equivalent table 4 qualification an advantage but not essential
  • Minimum of 5 years experience in the finance industry
  • Prior Real Estate knowledge an advantage but not essential
  • An understanding of Jersey statutory laws and other related legal and regulatory requirements for example Anti-Money Laundering laws
  • Ability to motivate and influence a team
  • Ability to mentor, develop and train junior members of staff
